Budget Module

Core Functionality

  • Sub Projects can be included in a parent budget - all merge up to the parent project to get a full overview of the project.
  • The information shown in the bars is enhanced. ETC (Estimate To Completion) model
  • We also have the option to pull non-resource items to the Budget as defined in an Estimate form that creates the project.
  • Filter Budgets – Allow users to filter based on phase or a date range for example costs/spend/burn to todays date.
  • Filtered budgets can be exported for analysis
  • A Financial view is available in the project list options
  • A financial view is available in the Resource Planner
  • Project burn can be managed through submitted timesheets against a project internally or through a timesheet ingest. User costs are based on system roles at the date of timesheet entry.

Sub Projects in a parent budget

Users have the option to select from all sub-projects in a parent project at the top level to include (or exclude) the sub project details in the overall budgetary figures.
For example - If I have 2 sub-projects my display options are:

  1. All Projects
  2. Just the Parent Project
  3. Only Sub Project 1
  4. Only Sub Project 2

The Parent Project is checked by default for the initial view.

As options are selected, the Budget view recalculates based on your selection.

The information shown in the budget information is enhanced. ETC(Estimate to Completion)

Estimate to Completion = Actual Costs + Future Resource Costs

Project Profitability Indicator %

ETC/Original Estimate Costs ETC x 100

i.e - We are currently running at X% of what we’ve budgeted

These fields are reportable.

 

Ability to pull non-resource items defined in an Estimate in to the Budget

When you define items in your Estimate as Non-Resource items such as

  • Travel
  • Project Contingency
  • Out of Pockets

These now show in to your Overall budget view and in the estimate and forecast tabs as non Resource costs .

On the Overview tab, you can show/hide the Resource and Non-Resource Costs to show the impact of these on your project

Refresh Data

Once you click on the Resourcing/Budget Module in a Project, the data loads as standard.

Following this initial load, this is timestamped on the module. To update the data, click on 'Refresh Data'. This allows for quicker navigation between the modules.

 

Export Budget

The 'Export Budget' in the Options dropdown menu exports the budget to an excel file excel report is updated to include filtering as applied in the view so dynamic reports based on dates and phases can be seen with or without OOP costs.

Project Burn

Project burn can be managed through submitted timesheets against a project internally or through a timesheet ingest. User costs are based on system roles at the date of timesheet entry.

Roles rates can be adjusted at the project level and such adhoc rates are checked and overwrite the standard system rate.

Role rates are shown in actuals data in burn and reports.
